3CX vs RingCentral

VS

3CX vs RingCentral: run your own PBX or rent a seat?

3CX is licensed per concurrent call and then hosted, trunked and supported by you. RingCentral is a per-user subscription that does all of that for a higher, simpler bill.

3CX and RingCentral are both full-featured PBXs bought in completely different ways. RingCentral RingEX is per-user SaaS: $20-35 per seat annual, hosted and supported, on a 12-36 month contract. 3CX is licensed per system per year by simultaneous calls: PRO for 8 concurrent calls is $350 a year and covers up to 40 extensions, but you add hosting ($295 a year from 3CX), a SIP trunk for the actual phone service, E911, and IT time. 3CX is cheaper per user for the right office and a project for the wrong one. This page does the honest total-cost math.

ROUND BY ROUND

3CX vs RingCentral, where each one wins.

Pricing model and total cost

3CX wins

For a 5-person office, 3CX Hosted PRO 8 SC plus a 4-channel SIP trunk lands around $120-185 a month before partner fees or support tickets; five RingCentral Advanced seats are $175 monthly plus about $20-25 in fees. Near parity at five. The difference is scale: the same 3CX licence covers 40 extensions, so a 15-person office pays roughly the same, while RingCentral climbs to $525 monthly. If few people call at once, 3CX wins; if everyone does, SC caps mean busy signals.

Where Ody lands: Ody is $33 per user on Growth with no hosting, trunk or ticket costs; five users are $165 a month, taxes the only extra.

Setup and who runs it

RingCentral wins

RingCentral is admin-led and takes days to weeks, but RingCentral hosts, updates and supports the platform. 3CX is not turnkey: you source a SIP trunk and DIDs, configure E911 and 10DLC with the carrier, choose self-hosting, Hosted by 3CX or a partner, and manage updates. 3CX itself says its support is for IT admins with networking expertise; setup is hours to days for an admin or 1-3 weeks with a partner. Without IT, RingCentral is the only realistic path.

Where Ody lands: Ody is self-serve and live in minutes: pick a number, set up the AI receptionist, and the phone system is running.

Support

RingCentral wins

RingCentral includes 24/7 phone and chat support on every tier and a 99.999% uptime SLA. 3CX sells support tickets at about $100 each or five for $350, business hours only, with roughly 48-hour response and no phone support; the alternative is paying a partner. For a business that cannot wait two days when the phones misbehave, RingCentral's included support is worth a large part of the price gap.

Where Ody lands: Ody offers email support on Starter, live chat on Growth and phone plus dedicated onboarding on Enterprise, included in the plan.

Features and hardware

Even

Both are complete PBXs: IVR, ring groups, call queues, recording, video conferencing and broad desk-phone support (3CX works with Yealink, Snom, Fanvil, Grandstream, Cisco and Polycom). RingCentral adds 330+ integrations, webinars and multi-site administration; 3CX PRO adds CRM integrations for M365, Google, Salesforce, HubSpot, Zoho and Dynamics, live chat and WhatsApp, with a Call Control API. Feature for feature, a well-run 3CX matches RingCentral for an office; RingCentral's ecosystem is broader.

Where Ody lands: Ody has IVR, ring orders, transfers and recording on Growth, 43 integrations and an API on every plan, but no video or desk phones.

AI and texting

Even

3CX's AI Edition ($575 a year at 8 SC, $225 more than PRO) adds an AI receptionist, transcription and agents with a bring-your-own AI provider, so you pay the model's usage without a vendor markup, but you configure it. RingCentral's AI Receptionist is turnkey at $39 a month for 100 minutes, then $0.50 per minute. Texting: 3CX PRO supports SMS through supported providers with carrier fees; RingCentral caps 25-200 per user. Cheaper-if-you-build against pricier-and-ready: even.

Where Ody lands: Ody includes a 24/7 AI receptionist and per-user texting on every plan, with no provider to configure.

3CX licenses per system per year by simultaneous calls (SC), not per user, and each SC tier caps extensions (8 SC = 40). The licence excludes voice service: you bring a SIP trunk (US market roughly $15-30 per channel/month unlimited, or metered plus $1-5 per DID) and handle E911 and 10DLC with your carrier. Hosting is self-managed, Hosted by 3CX ($295/yr for 4-8 SC, $450 for 16-24 SC) or a partner at their price. 3CX says its support suits IT admins with networking expertise; tickets are sold at about $100 each or 5 for $350, business hours, ~48-hour response, no phone support. The free SMB hosted edition closed to new users in early 2026; a 4 SC Basic Free edition exists self-hosted only, with no CRM or API. Licences renew annually, SC count cannot be downgraded, no refunds. For a 5-person office, Hosted PRO 8 SC plus a 4-channel trunk lands around $120-185/mo before partner fees or support tickets.

Reviewers report roughly $4-5/user/mo in Compliance & Administrative Cost Recovery, USF and E911 fees above list, 12-36 month auto-renewing terms with an early-termination fee equal to the remaining term and no online cancellation, and SMS caps of 25/100/200 messages per user per month.

We assume 1 channel for 1 user, 2 for 3 users and 4 for 10 users (the 4-channel figure is the 3CX record's own 5-person example, and the same 8 SC licence covers up to 40 extensions). Excludes support tickets (~$100 each), E911, 10DLC and partner fees. RingCentral Advanced ($35/user monthly, $25 annual) includes automatic recording, before ~$4-5/user in fees. VERDICT BY USE CASE

Which one should you pick?

Office with an IT admin and desk phones on every desk
Pick3CX

A full PBX for a flat yearly licence, broad handset support and hosting you control. At 10-40 extensions with few simultaneous calls the per-user cost is a fraction of RingCentral's.

Company without IT that wants the vendor to run it
PickRingCentral

Hosted, updated and supported 24/7 by phone and chat, with a 99.999% SLA. 3CX's own guidance says its support is for IT admins, and tickets cost about $100 each.

Growing to 30+ extensions with light concurrent calling
Pick3CX

The 8 SC PRO licence covers 40 extensions at $350 a year plus hosting and trunk. RingCentral adds $25-35 per user for every hire.

Small team that wants AI answering with nothing to configure
PickOdy

3CX's AI Edition needs a bring-your-own AI provider and admin setup; RingCentral's AI Receptionist is $39 a month for 100 minutes. Ody includes a 24/7 AI receptionist on every plan and goes live in minutes.

THE THIRD OPTION

The third option: no licence, no trunk, no ticket

3CX versus RingCentral is a choice between doing the work yourself and paying per seat for someone else to do it. Ody is for the team that wants neither the project nor the enterprise bill. Every plan includes a number per user, unlimited US and Canada calling and texting, a shared inbox, 43 integrations, an API and MCP, and a 24/7 AI receptionist with nothing to configure. Growth at $33 adds IVR, ring orders, transfers, auto recording, analytics and AI summaries. No trunk, hosting or E911 to arrange: pick a number and go live in minutes, on a 12-month term billed monthly or annually.

One bill, no assembly

3CX's real cost is licence plus hosting plus trunk plus DIDs plus tickets plus IT time. RingCentral's is seats plus $4-5 in fees plus $39 for AI. Ody Growth is $33 per user plus taxes, and includes the receptionist, recording and IVR.

AI that is already wired

3CX's AI Edition costs $225 more a year and needs your own AI provider account. RingCentral's AI Receptionist is a $39 a month add-on with 100 minutes. Ody's AI receptionist answers 24/7 on every plan and books, texts back and hands off without configuration.

Not a PBX for a phone room

Ody has no desk phones, no video conferencing and no self-hosting. An office that wants handsets on every desk and an admin who enjoys dial plans should run 3CX. A company replacing a multi-site PBX with vendor support should pick RingCentral.

FAQ

Questions people ask before choosing.

Per user, usually yes once you pass a handful of extensions, because 3CX licenses per concurrent call rather than per seat. For a 5-person office, Hosted PRO 8 SC plus a 4-channel trunk runs about $120-185 a month against roughly $175 plus fees for five RingCentral Advanced seats on monthly billing, and the same 3CX licence covers 40 extensions. The savings assume you have IT time; support tickets at about $100 each and partner fees can erase them.
