Evaluations from referrals
Confirms the referral and insurance from your list, books the evaluation onto a real opening and texts the intake forms.
How the receptionist worksThe week
Each one is a client, a claim or a job that went to whoever picked up.
Referrals expire in the gap between the doctor's office and your voicemail.
Unconfirmed visits become no-shows, and plans of care fall apart.
Referral relationships live on responsiveness.
Wants tomorrow's first slot. Gets a voicemail greeting.

Hands-on all day, phone still answered
The clinic number rings the app between patients and goes to the receptionist while you're treating. It books evaluations onto real openings, confirms visits by text and answers insurance questions from your list.
Inside your hours the line rings your phone and the receptionist picks up if you don't. Outside them it answers first ring, books next openings and texts back anyone who hung up.
Confirmations, reminders and intake links from the clinic number, replies in the patient's thread. One-time 10DLC registration at onboarding; collect texting consent at intake.
One local number is included with your seat. Referring offices and patients get the clinic number; your cell stays yours.

Trust
Calls, transcripts and messages are encrypted in transit and at rest and never used to train third-party models. A Business Associate Agreement is available on request. You decide how much the receptionist collects: name, callback number and reason for the call is the default.
Rollout
No hardware, no consultant, no call-flow diagram. Four steps and the line is answered.
Bring the clinic number over, or start with a new local number. Porting is free and the old line keeps working until cutover.
Providers, services, hours, insurance you accept, new-patient rules, what counts as urgent. Plain sentences, not call flows.
Ring the front desk, a phone menu, a ring order for on-call, or one number per location, plus what the receptionist does after hours.
Review transcripts and summaries, tighten the instructions, then let the receptionist book more of the schedule.
